AI wallet
Your AI wallet is a prepaid balance that pays for the AI work done for your business. You add money by card, and each AI task takes a small amount from the balance. When the balance runs out, the AI pauses and your bots carry on without it.
The wallet is shown as AI balance at the top of the AI Employees page.
Before you start
- To see the balance and usage, you need permission to see AI Employees.
- To add money or set up automatic top-up, you need billing permission (the same one used for Plans). Without it, the card says "Someone with billing access can top up." See Roles & permissions.
What the wallet pays for
| Usage | When it is charged |
|---|---|
| Customer conversations | Each time an AI Employee reads a customer's message and replies. |
| Voice notes heard | Each customer voice note an AI Employee listens to (only if Understand voice notes is on). |
| Voice replies | Each spoken reply an AI Employee sends (only if voice replies are on). |
| Midra questions | Each question your team asks the team assistant, if your business has it. |
Charges are small amounts per task, usually fractions of a cent, and depend on how much the AI has to read and write. A long knowledge base, a long conversation and many API action results all make a reply cost more.
The AI wallet is separate from your Midlr subscription and from any other balance, such as SMS credit.
Check your balance
In the sidebar, under Automation, click AI Employees. The AI balance card shows your balance in US dollars and its status:
| Status | Meaning |
|---|---|
| Active | The AI is running normally. |
| Low | The balance is below $2, or below your automatic top-up level. Top up soon. |
| Empty — AI paused | The balance has run out. Your AI Employees are paused until you top up. |

Top up
- On the AI balance card, click Top up.
- Pick an amount ($10, $25, $50 or $100), or type another amount under Or another amount (USD). You can top up between $10 and $1,000 at a time.
- Click Pay. A secure Stripe payment page opens.
- Pay by card. You return to Midlr and see a message when the money is added.
If you cancel on the payment page, nothing is charged. Sometimes the payment takes a moment to clear; the balance updates as soon as it does.
Your card is saved so it can be used for automatic top-up.
WARNING
Wallet credit is non-refundable. It never expires.
Welcome credit
Businesses with a paid subscription get a one-time Welcome credit of $2 in the AI wallet, so you can try AI Employees before your first top-up. Businesses on a demo don't get it and need to top up to use AI.
Set up automatic top-up
Automatic top-up keeps your AI Employees running. When your balance drops below a level you choose, your saved card is charged automatically.
- Top up once by card first. That card is the one automatic top-up charges.
- On the AI balance card, click Usage & statement, then open the Automatic top-up tab.
- Turn on Automatic top-up.
- Set When the balance drops below (between $1 and $500) and how much to Add (between $10 and $1,000).
- Click Save.
Automatic top-up runs at most once every 10 minutes. When it is on, the card shows "Automatic top-up adds … when it drops below …".
If a charge is declined, or your bank asks for extra verification, automatic top-up stops and the card shows Automatic top-up stopped with the reason. To restart it, save the setting again, or make a manual top-up by card (automatic top-up then uses that card).
What happens when the wallet is empty
- An AI reply that has already started is finished.
- After that, no new AI work starts. Your AI Employees are paused, and the page shows them as needing attention.
- Customers aren't left waiting in silence: the bot simply carries on with the next node after the AI Employee node (or stops, if there is none). See Bot Factory.
- Voice notes are not listened to, so they won't start AI conversations.
- The team assistant can't answer questions.
Everything starts again as soon as you top up. Midlr doesn't send an email when the wallet runs low or empty, so keep an eye on the card, or turn on automatic top-up.
See your usage and statement
On the AI balance card, click Usage & statement.
- Usage shows what you spent in the last 7, 30 or 90 days: the total, the number of AI calls, and the cost By employee, By kind (the usage types above) and By day. Voice notes heard before any AI conversation started are listed as "Voice notes before a conversation".
- Statement lists every change to your balance: Welcome credit, Top-up, Automatic top-up, daily AI usage and any Adjustment, with the balance after each line. AI usage appears on the statement once a day, the morning after. Today's usage is already taken from your balance; see Usage for it.
Tips to control your AI spending
- Turn off Understand voice notes for employees that only need text.
- Keep voice replies off unless they help your customers.
- Keep the knowledge base focused: everything in it is read on every reply.
- In API actions, list only the fields the AI needs under What the AI gets back.
- Place the AI Employee node in your bot only where AI is needed, and use keyword menus for simple questions.
